This policy explains what personal information Trewena Cottages collects when you visit our website, book a stay, or sign up for our emails, why we collect it, who we share it with, and your rights under UK data protection law. For any questions, contact us at hello@trewena.com.
Who we are
Trewena Cottages is run by Rich and Hellen Abrahams. We are the data controller for personal information collected through trewena.com. Our postal address is Trewena Cottages, Mabe, Falmouth, Cornwall, and our email address is hello@trewena.com. We are a small family business and do not have a separate Data Protection Officer.
What information we collect
When you book a stay we collect your name, email address, phone number, the dates and details of your stay, and any notes you choose to add. We also collect a record of the payment. The payment card itself is processed by Stripe and we never see the card number.
When you sign up to hear from us we collect your email address and your consent to receive marketing emails. You can unsubscribe at any time using the link in any marketing email we send.
When you use our contact form we collect whatever you choose to put in the message, which usually means your name, email address, and the question you are asking.
When you visit the site we automatically collect standard access information including your IP address, browser type, time of visit, and the pages you view. This information is retained for a limited period for security and troubleshooting purposes. We also set cookies and use related browser storage, as described in the Cookies section below.
When you book through Airbnb or Booking.com we do not collect anything directly. Those platforms share a limited subset of your booking with us, typically a name, the dates, and a reference, so that we can prepare for your arrival.
Why we collect it and the legal basis
Booking details and payment information are collected on the legal basis of contract performance so that we can take, confirm, and run your stay. Marketing emails are sent on the basis of your consent, which you may withdraw at any time. Server logs and strictly necessary cookies are processed on the basis of legitimate interest in keeping the site secure and functional. Analytics and advertising cookies are loaded only on the basis of your consent, given through the cookie banner.
Who we share your information with
We use a small number of established third-party services to run the site and the business. Stripe processes payments for direct bookings and receives your name, email address, and card details when you pay; their privacy policy is at stripe.com/privacy. Resend delivers transactional and marketing emails and receives your name and email address; their policy is at resend.com/legal/privacy-policy. Google Analytics measures how the site is used and is loaded only after you have given consent through the cookie banner; their policy is at policies.google.com/privacy. Meta measures advertising effectiveness and is loaded only after marketing consent; their policy is at facebook.com/privacy/policy. Airbnb and Booking.com share booking details with us when you have booked through them; we do not share anything back with them. We may share summary financial information with HMRC where we are legally required to do so. We do not sell your data.
International transfers
Some of the services we use, including Google, Meta, Stripe, and Resend, are based in or transfer data to the United States. They participate in the UK Extension to the EU-US Data Privacy Framework, which the UK government has determined provides adequate protection for personal data.
How long we keep your information
We retain booking records for as long as required by applicable law and our regulatory obligations, including for tax purposes. We keep your details on our marketing list until you unsubscribe, plus a short period thereafter to record the fact of the unsubscribe. Server logs are kept for a limited period. Cookies and similar browser storage are retained for the periods determined by the parties that set them. When a retention period ends we either delete or anonymise the data.
Your rights under UK GDPR
You have the right to access the personal information we hold about you, to correct anything that is wrong, to request erasure subject to the legal retention requirements set out above, to restrict what we do with it, to obtain a copy in a machine-readable format, to object to processing based on legitimate interest, and to withdraw consent at any time for marketing or non-essential cookies. To exercise any of these rights, email us at hello@trewena.com and we will respond within thirty days.
If you are not satisfied with how we have handled your data you may complain to the Information Commissioner's Office at ico.org.uk/make-a-complaint or by phone on 0303 123 1113.
Cookies and similar technology
A cookie is a small text file that a website stores on your device when you visit. It lets the site work properly and remember your preferences. Some cookies are set by us and some by the third-party services described above.
There are three categories of cookies that may be set on this site. Strictly necessary cookies are required to make the site work and are set without consent: these include cookies set by Trewena for site functionality and by Stripe to process payments and prevent fraud. Analytics cookies are set by Google Analytics to measure visit patterns and are loaded only after you have given consent through the cookie banner. Marketing cookies are set by Meta to measure advertising effectiveness and are also loaded only after you have consented.
You can change your cookie preferences at any time by clicking the cookie preferences link in the website footer, which opens the consent banner so you can switch categories on or off. You can also delete or block cookies through your browser settings, although disabling strictly necessary cookies will break parts of the site including the booking flow.
Changes to this policy
If we make material changes we will update the date shown at the top of this page. For substantial changes we will also notify you by email if we have one on file.
